Introduction
DataFlow Group is a global provider of primary source verification (PSV) and background screening services, helping organizations ensure the authenticity of professional credentials before approving the work license of qualified medical professionals moving from another country.
As a senior product designer here, I helped identify usability issues in a legacy application and re-designed a new and cleaner UI/UX experience for mobile, web for B2C application. Our team also created a modular design system supporting 10+ high-traffic flows on mobile and web. From the surveys conducted in 2024 regd the redesigned approach, we saw +15% uplift in net promoters score (NPS).

Glimpse of the new platform designs
The Problem
Dataflow already had a platform in place for a couple of years. The existing platform was a disconnected, short-term solution with no user data retention, inconsistent design, and fragmented flows — resulting in a broken experience with no continuity between onboarding, application, and support processes.
Preview of the old platform
How might we turn a fragmented system into one seamless journey that feels easy and reliable for applicants, helping agencies and verification requesting global authorities?
The Process
We followed a fast-paced, agile process to meet tight launch timelines. As the only two designers, my colleague and I worked closely with product and engineering leads to break down the existing DataFlow system, capture new requirements, spot patterns, and uncover key problem areas.
We collaborated using tools like Figma, Jira, Maze and stayed aligned through regular feedback loops with users, stakeholders, and engineers. We had to navigate tight tech restrictions and unclear requirements which made adaptability essential and we ensured every decision moved us toward a smoother, more intuitive experience.
While our process wasn’t always linear, it was intensely collaborative and rewarding. Here’s a look at how the journey unfolded
🧠
01 Understand
Design audit, stakeholder interviews, requirements
This phase was all about understanding the current system, where the company stands, and where we’re headed with the new one. As designers, we spent time with product managers, engineering leads, and operational teams — from finance to internal ops to vendors — to get a clear picture of how things work today and what needed to change.
How are Dataflow Verifications done?
While Dataflow Verifications are at the center of the whole company, the internal process to produce the same can be really complicated to understand. We slowly broke it down into understandable chunks and wrinkled out any questions we had with the product owners. The following swimflow diagram explains it in a linear way, but this entire process has multiple nuances and sub-processes inside.
